A question from a reviewer is not automatically a failure of the application. It often means a document was missing, a name did not match, or a claim on pack was not reflected in the file.
The companies that handle queries calmly are usually those that kept a version-controlled working file from the start.
Answer the question that was asked
Responses should address the point raised, attach the relevant document, and avoid introducing a new product description that conflicts with the original application.
Keep a correspondence record
Dates, questions and attachments should remain available to the internal team and to any local partner. That record is also the starting point for later variations.
